We provide domiciliary and related home-care services. Our CQC-registered location is Josben Care Southampton (location ID 1-12389174603).
For UK data protection law, Josben Care Services Limited is the data controller for personal information we collect through this website and the online forms linked from it.
2. What this notice covers
This notice explains how we handle personal data when you:

3. What we collect
We only ask for what we need to respond or process the request you make. Depending on how you contact us, that can include:
- Identity and contact details — name, email address, telephone number, and any preferred contact method you choose
- Enquiry content — subject, message text, who you are enquiring as (for example family or professional), and optional service interest
- Professional referrals — referrer details, organisation information, and the limited client information needed to open a conversation safely. We ask referrers not to overload the public form with clinical detail
- Job applications — surname and first names, address, telephone numbers, email, date and place of birth, driving and vehicle answers, short values answers, eligibility and adjustments, supporting information, and any documents you choose to upload such as a CV. Education history, employment history, references and National Insurance number may be requested later by recruitment staff through a secure link. Restricted safeguarding answers and an Enhanced DBS permission (only if the application proceeds) are stored separately and are available only to authorised recruitment staff. Passport, right-to-work evidence, proofs of address, and other identity documents are not collected on the public form; they may be requested later through the staff portal as recruitment progresses. Driving-licence photocard collection on the public form remains closed until the client confirms that step. Uploaded files that pass format checks without a malware scanner are recorded as format-checked, not as malware-clean
- Chat messages — the text you send in the website chat, plus a technical session identifier so the conversation can continue
- Technical data — IP address, browser type, device information, pages visited, and timestamps generated by our hosting and security systems
- Consent records — when you tick privacy or contact consent boxes, we store that you consented and when
4. Why we use your information (and the legal bases)
UK GDPR requires a lawful basis for each use of personal data. For this website and its forms, we rely on the following:
- Legitimate interests (Article 6(1)(f)) — responding to enquiries, running and securing the website, preventing abuse or spam, and improving how families and professionals reach us. We balance this against your privacy rights and keep uses proportionate
- Consent (Article 6(1)(a)) — where you tick a consent box (for example agreeing we may contact you about an enquiry, or acknowledging this notice on a form). You can withdraw consent for future contact by emailing us; that does not make earlier lawful processing unlawful
- Contract / pre-contract steps (Article 6(1)(b)) — where we need information to take steps at your request before entering a care or employment arrangement
- Legal obligation (Article 6(1)(c)) — where the law requires us to keep or disclose information (for example employment law, safeguarding duties, or responding to a lawful request from a regulator or court)
5. Who can see your information
Access is limited to people who need it for their role:
- Authorised Josben Care staff — for example office, care coordination, or recruitment colleagues handling your message or application
- Technology providers acting as processors under contract — including our website and database host (Supabase infrastructure) and the platform operator supporting this site (Wells Consult). They process data on our instructions, not for their own marketing
- Regulators or professional bodies — where we are required or entitled to share information (for example the Care Quality Commission, or the Information Commissioner’s Office)
- Professional advisers — solicitors, insurers, or auditors, where necessary and under confidentiality
6. International transfers
Our primary operational systems for this website are configured for UK/EEA-aligned hosting where practicable. If a processor stores or accesses data outside the UK, we require appropriate safeguards under UK GDPR (for example the UK International Data Transfer Agreement or an adequacy decision) before that processing continues.

7. How long we keep information
We do not keep website information forever. Retention depends on why we hold it:
- General enquiries and chat transcripts — normally kept long enough to complete the conversation and for a short follow-up period (typically up to 12 months), unless the exchange becomes part of an active care or complaint file
- Professional referrals — kept while we assess and respond, then in line with our referral and care record retention rules if a service relationship begins
- Unsuccessful job applications — kept for a limited period so we can defend equality claims and answer follow-up questions (commonly up to 6–12 months unless a longer hold is justified or you join a talent pool with clear consent). Documents uploaded with an application are kept with that application. A final retention period for recruitment documents has not yet been confirmed
- Successful applications / staff records — moved into employment and safer-recruitment files under HR retention schedules
- Security logs — kept for a shorter operational period needed to investigate abuse or outages
- Consent records — kept for as long as we need to demonstrate that consent was obtained
8. How we look after it
We use organisational and technical measures appropriate to a care provider handling sensitive conversations online. That includes access controls for staff systems, encrypted connections to this website (HTTPS), server-side validation on forms, spam protections (including honeypot fields), and restricted database permissions so public visitors cannot read other people’s submissions.

9. Your rights
Under UK GDPR you may have the right to:
- be informed about how we use your data (this notice)
- access a copy of personal data we hold about you
